Our Data Protection Policy
We hold your “Personal Information” electronically to effectively run the Society. We do not hold “Sensitive Personal Information” on any member. We do not pass your information to third parties outside the Society unless we have obtained your express permission, or we are legally obliged to do so.
Within the Society, the information is tightly controlled. Your street address may be used by our postmen and women to deliver a printed copy of the Newsletter. Your email address is used for general mailings to all members of the Society to impart information. These will generally only be monthly reminders to members with details of meetings and events or copies of our Newsletter, but we may occasionally send emails to inform our members of time constrained information that we cannot transmit in other ways. You may opt out of receiving these emails, but you may then still receive individual emails relevant to your membership in the Society.
You may request a copy of the information we hold about you and we are obliged to correct any errors in that information. In fact, we welcome any comments on information that requires amendment, since this helps us to keep our records up-to-date for the efficient running of the Society.
You can ask us to remove any information about you, but this could have an effect on your membership of the Society. Personal Information is generally kept for a period of 6 years after a member has left The Society to allow for queries, re-joining, etc.
Current data protection regulations require you to “opt-in” to receive targeted marketing. As the Society does not use personal information for marketing you will not be asked to “opt in”. The only marketing the Society does is to the public in the form of leaflets, posters, events etc mainly for membership recruitment.
